Privacy Policy

Upshot helps amateur sports teams run a game and helps families follow it. This page explains what we collect, why, who can see it, and how to delete it. Many of the people in Upshot are children, so we keep the defaults private.

What we collect

  • Your account: your name and email address, and a password (which we never see in readable form).
  • Team information: team names, rosters (a player's first name, last initial or last name, jersey number and position), which parent or guardian is linked to which player, schedules, and messages posted on a team's Team Board.
  • Requests to join a team: when you use a team's family code, we keep a join request: your account name and email address, the note you wrote about your child (for example a first name and jersey number), the players you chose as your children, which team it is for, and whether it is waiting, approved or denied.
  • Game records: the events a scorekeeper records during a game (baskets, fouls, substitutions) and the scores and statistics worked out from them.
  • Video: if a team uses the camera feature, recordings of its games and short highlight clips cut from them. A recording shows the whole court, so it shows every child who is playing.
  • Notification settings: if you turn on notifications, your phone's notification token (an address for your phone, not your name or location) and which kinds of notification you want. We send only short messages such as "Schedule updated" or "Highlights are ready". They never contain a player's name, a score or any part of a video.
  • Crash and error reports: when the app crashes or hits an unexpected error, a crash report is sent to Firebase Crashlytics (a service of Google). It contains the type of error, a technical trace of the app's code, the app version, your phone model and operating system version, and an anonymous install identifier that Google generates. We remove names, email addresses, notes and other typed text before anything is sent, and it never includes video. This is on by default. You can turn it off at any time in Account, with "Send crash reports".
  • Report a problem: if you choose Account, then Report a problem, and tap Send, we receive the app version, your phone model, a short activity log of the last events in the app (such as "sync failed" with an error code, never names or text), counts of changes waiting to sync, and the note you wrote. We receive nothing unless you tap Send. Please do not put other people's names or details in the note. The report is tied to a reference code and to your account so that we can look into it.
  • Device details: the camera device reports its temperature, battery level and free storage while recording, so we can protect the recording. This stays on the device unless a person exports it.

We do not use advertising, we do not sell personal information, and we do not use third-party analytics or tracking in the app. The only third-party service that receives data directly from the app for its own purposes is the crash reporter described above, and it is used to fix bugs, not to profile anyone.

Who can see it

  • Team members only. Everything belongs to a team and is visible only to that team's members.
  • Video: the full recording is visible only to the team's admins and scorekeepers. Highlight clips are shown to families according to the team's privacy setting: either every player's clips, or only the clips of the players a family member is linked to. A clip still shows the whole court.
  • Statistics: a team admin chooses whether families see the whole team's statistics or only their own player's. Where only your own player is shown, the team's score and team totals are still visible.
  • Join requests: only the admins of the team you asked to join can see your request and your note. Nobody else sees it. You do not see the team's roster until an admin approves you. The one exception is finding your child: after you enter a valid team code, you can search the team's players by first name or jersey number. The search shows only a player's first name, last initial and jersey number, a few results at a time, and never the full roster. The number of searches is limited.
  • Nothing is public. There are no public profiles and no public video or links.

Who helps us run the service

We use hosting and database providers to store and deliver the data (including account sign-in, the database, file storage for video, email for confirmation codes, and Apple's and Google's push notification services, which carry the short messages above to your phone, and Google's Firebase Crashlytics, which receives crash and error reports). They may only use it to provide the service to us. Video is processed on a server we operate to cut clips.

How long we keep it

A join request is kept until an admin decides it or your account is deleted, whichever comes first. Deleting your account deletes your join requests.

We keep team and game data while the team is active. A team admin can archive a team. Video is kept so that highlights can be shown and so games can be reprocessed later; a team can ask us to delete its video at any time.

Your choices and rights

  • Turn off crash reports: in the app, open Account and switch off "Send crash reports". It takes effect immediately and any report not yet sent is discarded. "Report a problem" is only ever sent when you tap Send.
  • Delete your account: in the app, open Account, then Delete account. Your name and email are removed and you can no longer sign in. Game records you helped create (for example baskets you scored) stay in the team's history, attributed to a deleted user, because a game's record has to stay intact.
  • Delete a child's information: a team admin can remove a player, and you can ask us to delete anything about a child you are responsible for.
  • Ask a question or make a request: in the app, under Account, then Report a problem

Children

Upshot is used by coaches, scorekeepers and parents. It is not directed to children, and children do not have their own accounts. Adults who add a child to a team, or record video of children, are responsible for having the permission of that child's parent or guardian. If you believe we hold information about a child without a parent's permission, contact us and we will delete it.

Changes

If we change this policy in a way that matters, we will tell you in the app before it takes effect.
